Getting started & trial
Do I need a credit card to try it?
No. The 3-month trial starts without any payment details. You only add a payment method once you decide on a paid plan after the trial.
How long does setup take?
The guided onboarding takes a few minutes. Master data (chart of accounts, cost centres, suppliers) is optional and can be added at any time — you can start with your first invoice right away.
What happens after the 3-month trial?
Your account moves to the plan you pre-selected during trial — or stays paused unpaid (data retained 30 days). No automatic charges without your consent.
AI & costs
Which LLM providers are supported?
Anthropic (Claude Haiku/Sonnet/Opus), OpenAI (GPT-4o, GPT-4.1, GPT-5 family), and any OpenAI-compatible self-hosted endpoint (Ollama, vLLM, LocalAI, LM Studio). You can also run without AI entirely — regex and ZUGFeRD extraction are free in every plan.
Who pays the AI costs?
You do. The API key is yours, the bill is yours, budget control is yours. We charge zero markup.
Roughly what does AI extraction cost per invoice?
Depending on the model, roughly €0.001 to €0.02 per invoice. With a low-cost model like Claude Haiku you process about 50 invoices for 5 cents. Self-hosted costs €0.
Can I use InvoiceFlow entirely without AI?
Yes. Regex and ZUGFeRD extraction are included in every plan and incur no token costs. AI is an optional convenience feature.
Security & GDPR
Where is the data?
EU region (Frankfurt) on Supabase. Originals retained 10 years audit-safe (GoBD), audit log per tenant. On request (Enterprise): on-premise.
Is InvoiceFlow GDPR-compliant?
Yes. EU hosting, a data-processing agreement (DPA), strict tenant isolation via row-level security, and a deliberately tight content-security policy. All AI calls run server-side, never in the browser.
How long are my invoices retained?
Originals are archived for ten years in an audit-proof way (GoBD), including inbound raw emails. Each tenant has separate, access-protected storage areas.
Capture & processing
How do invoices get into the system?
Three ways: file upload (PDF/image), a photo on your mobile device, or email forwarding to your personal inbound address. Forwarded attachments are read and pre-coded automatically.
What counts as an "invoice"?
Every invoice processed via upload, email inbox or API — regardless of whether it is approved. Reversals don't count twice.
Are ZUGFeRD and XRechnung supported?
Yes. ZUGFeRD and XRechnung documents are detected automatically and their structured data is used preferentially. ZUGFeRD can also be produced as an export.
Approval & workflow
Can I model multi-level approvals?
Yes, with the "Multi-level approval" add-on: up to five levels with amount tiers, exception flows, skip rules and substitution. Without the add-on, simple single-level approval applies.
What happens when an approver is away?
You can assign a substitute. An OR semantic applies: either the original approver or the substitute can approve — the process does not stall.
Export & accounting
How does DATEV hand-off work?
We generate the standard DATEV booking batch CSV (ASCII, ANSI/CP1252). Your tax advisor imports it directly via the DATEV interface. Optional: SAP import and generic chart-of-accounts CSV.
What other export formats are there?
Besides DATEV: SAP import, a generic configurable CSV, and ZUGFeRD (PDF/A-3 with embedded XML). Recurring exports can be saved as a profile.
Banking & payment
Do I need my own banking integration?
No — you can download the pain.001 XML from InvoiceFlow and upload it to your online banking. For direct execution we optionally integrate FinAPI, Tink or Klarna Kosma (extra costs, see pricing table).
Pricing & billing
What happens if I exceed the invoice limit?
From 80% usage you see a banner. On paid plans, processing continues above the limit and is billed at €0.50 per extra invoice (up to a cap). Only at the hard cap is it gently blocked — received invoices are retained and caught up after an upgrade.
How can I cancel?
Monthly plans can be cancelled at any time to the end of the period. Annual plans run until the end of the term and are then not renewed automatically.
